Bericht für Mai 2017

Woran arbeite ich zur Zeit?

The much awaited Surveys have been successfully completed and the results for these surveys have been sent to StuPa for decision making. It should be mentioned here that I saw a greater volume of replies than i was expecting the Semester Ticket Survey was taken by 1880 students while the Culture Ticket survey was taken by 1202 students.
These results were presented in both tabular form as well as graphs to StuPa showing the total votes cast by the student for the various options available to them.
Apart from that i have also worked with the CampusFest IT team to debug some of the issues they were facing.
Lastly I have also updated the email addresses for members of StuPa on their website.
I have also updated the login credentials and FTP access for members of AStA.

Was habe ich erreicht?

I am currently involved in the overhaul of the StuPa website. I am updating it as the work is presented, the most recent one is to remove the Newsletter from their website as well as updating the documents that are already on the website.

Was sind meine Pläne für den nächsten Monat?

I am aware that more homepage work is headed my way from StuPa so my energies will be directed toward the maintenance of StuPa online resources. I also have to do some housekeeping tasks for the servers, because their is a lot of backlogged and outdated information that is on the servers which is not really being used any more. So i have to think of how to remove those resources while still maintaining an archive of these documents.

Woran arbeite ich zur Zeit?

During this month I wrapped up the residual effects of our migrations by going over and fixing the remaining issues with keeping the websites and databases configured. CampusFest and FSKV were the latest services to be affected.They have been configured and are working properly now. This was a critical issue because campusFest needs maximum up time right now due to sponsors and the need to post regular information regarding the event.
I also prepared the email lists for the new Stupa members, all of them have been given new logins and email access. I have also had a meeting with Stupa regarding updating their website to a new version with updated information and content. This process will overflow into next month as well.
The surveys for the Semester Ticket and Kulture Ticket have been published on our website and are currently going through stress testing in order to highlight any bugs before we open it to the general student body.
Apart from these tasks I have been maintaining the regular email services, such as spam protection, which has improved significantly since the migration.

Was habe ich erreicht?

I am currently waiting on the results for the surveys to come in from our local stress test and then work towards fixing any bugs that might have appeared from interaction with the testers.
I am also looking into making a convenient webportal for the Stupa to keep their content updated on their website. This might end up looking like the AStANet or a content management service of some sort.

Was sind meine Pläne für den nächsten Monat?

There is talk of a ticker for the meetings of AStA on our webpage, so for next month i will be sitting in with Inka and seeing how we can realize that idea.

Woran arbeite ich zur Zeit?

This Month has brought with itself the migration of the AStA's web resources to the new hardware. Our system provider has moved all of their infrastructure to a new setup and it has been a nightmare.
The first issue that popped up was the inability of our members to access the emails. I checked with the new interface and saw that none of our emails showed up in the new infrastructure. After getting in contact with the support team i was able to restore the access for everyone in the new setup

The second issue that arrived was the loss of FTP access for myself and everyone using webhosting resources of our system provider. The main persons affected by this were Me and Sara. The new system changes the naming conventions as well the protocols for accessing FTP servers. I was able to restore that access after digging through the manuals provided by our system provider

AStA's website went down for a couple of hours due to misconfiguration at the backend done by the system provider. I had to manually fix that from here.

The other item impacted by the haphazard migration was the loss of our databases. The system provider moved all of the information to new databases while renaming all of them and also resetting their passwords. This in effect caused Mona and her team to be unable to access their cloud resources. I had to get in touch with the support and reconfigure the servers to work correctly.

Good news is, all of the above issues were resolved and the concerned people have been informed are able to continue their work.

My work for the survey has been greatly impacted by this migration because you cant have a survey if you dont have a working infrastructure but i am 3/4 of the way done with the implementations and would be ready to go live in the beginning of the next semester but most likely not the first 2 weeks

I am still trying to put out fires caused by the migrations and that will remain as my focus for the coming month because there are still several areas where i see problems arising.

I am also aiming at meeting the deadline set out for Semester Ticket Survey

Was sind meine Pläne für den nächsten Monat?

As i have said, firefighting is the agenda for the next month because the stability of our platform is what is of mission ciritcal importance at the moment.

Woran arbeite ich zur Zeit?

Currently I am working on taking care of the transition from the titanpad to the Glip system. Titanpad is expiring in March therefore we needed a new system to organize our meetings and share documents. For that Glip has been recommended by the team. Me and Jan have sat and looked at that platform in the working condition and have also invited the rest of the team to test it out. I am also developing a survey for Semester Ticket as requested by Jerome.
I am also keeping track of the web traffic we are getting because PR brought it up that they would like to know how the website was being viewed by the student body. I have set up out web analytics engine that tracks the record of people accessing the AStA webpage.
My regular tasks include the following
- Administration of AStA e-mail accounts
- Administration of the StuPa e-mail accounts
- Administration of AStAnet
- Technical maintenance of the AStA website

Was habe ich erreicht?

As this was my exam month, I couldn’t not finish the survey as quickly as I would have liked but I have implemented a demo version for Jerome and gotten his feedback on what changes he would like.
I have also been manually looking into the spam issue, I have opened another ticket with sysprovide GmbH regarding their performance issues. I included tangible proof that their system is not behaving as it should be, therefore I am confident that they will give some positive feedback. Unfortunately for the time being they have just assured me that their platform will perform better once the transition to the new hardware is complete.
I have also updated Finanze about the updated banking information regarding our provider
I have provided the web analytics for the month of January to PR and will be supporting them for the other months as well.
Glip invitation were being rejected by our emails because they were being generated by a numbered email rather than a unique email, so I sat down with Jan and fixed the problems so that the AStA team could receive the invites and join Glip

Was sind meine Pläne für den nächsten Monat?

Primary focus for me at the moment is to wrap up the survey as quickly as possible so that we can launch it at the start of next semester. I have the framework up but the actual information still needs to be put it. The reason why its taking longer is because I want the solution to be scalable, meaning the next surveys that we make should just involve changing the questions and it should work.

Woran arbeite ich zur Zeit?

These days I have more a concrete direction regarding where I want to take my HTML and PHP skills because Jerome has expressed an interest in making a survey for the students regarding the semester ticket. We explored using a service and leverage their resources for the survey but the needs of the survey were not being met by the service therefore we will be developing the survey in-house. Furthermore, I am taking care of the following routine tasks
- Administration of AStA e-mail accounts
- Administration of the StuPa e-mail accounts
- Administration of AStAnet
- Technical maintenance of the AStA website

Was habe ich erreicht?

The spam problem is more persistent that i originally calculated. I have had a few correspondences with our mail provider regarding their take on this issue. According to them, everything is working fine, obviously it is not at our end. To counter this problem. I have setup the kontakt@asta as a proper email address in order to judge the behaviour of this address. The configured settings appear to have zero impact on the actual working of this address. Therefore i have taken the drastic step of manually enforcing SPAM checks on all the emails we get. This has limited the problem significantly. .Along side this, i have backed up asta-net and asta-hildesheim.de onto an office workspace for dev-work as well as having a safe copy in case something unforeseen happens to our hardware.

Was sind meine Pläne für den nächsten Monat?

Our service provider will be going through an overhaul of their existing hardware and will move to a new domain. The SysProvide company is going to be changing its name and its physical hardware will be changing as well. I am waiting for detailed instructions from them regarding what is going to be my role in all this. Hopefully, we will see a smooth transition, but i do predict a small downtime for astanet and our website.
More on this issue will be available when the provider shares that information.

Woran arbeite ich zur Zeit?

As this is my first month in AStA, i am familiarizing myself with the existing system. I want to understand the current framework and see where the room of improvement exists.
Furthermore, i am facilitating the new members by creating their Emails and adding them as member to the AStA net.

Lastly I am listing some of the the routine tasks that I am taking care of.

- Technical maintenance of the AStA website

Was habe ich erreicht?

I have had the first meeting with Nils, who was handling the system before me, and have taken the first steps to start contributing towards facilitating the members of AStA. I have created the new Email accounts for nerv, Barrierefreiheit, Design und Gestaltung and hopo-innen.
There has been an issue with an increase in spam for the kontatk@asta-hildesheim.de account and I have taken steps to strengthen the spam filter strength in order to control the increase of spam email. The process will require a few iterations in order to see what works bests while still preventing legitimate communication from being marked as spam.

Was sind meine Pläne für den nächsten Monat?

I will be learning about HTML and PHP languages during the coming month in order to be technically capable of implementing wide scale changes where needed.
Once i have attained a the necessary skill level, I will be looking into how to create a language specific version of our website to enable the students (like myself) to get information in either German or English.

Woran arbeite ich zur Zeit?

Zur Zeit wird bedingt durch den Rücktritt vom Referat IT und Datenschutz das AStAnet als Lightversion fertiggestellt. Für die Mitglieder steht schlussendlich ein für die Ansprüche genügendes System zur Verfügung.

Was habe ich erreicht?

Im Rahmen der Kerntätigkeit wurde die Gestaltung der Benutzungsoberfläche des AStAnet vorangebracht. Wegen des Rücktritts vom Referat IT und Datenschutz wurde der Plan modifiziert und die Fertigstellung einer Lightversion des AStAnet vorbereitet. Eine Neustrukturierung der Mitgliederdatenbank ist dadurch nicht mehr erforderlich, womit analog auf Dienste wie Mitgliederverwaltung und E-Mail-Administration verzichtet wird. Die Verwaltung aller Applikationen ist nicht kompliziert – sie erscheint wegen der fehlenden Datenbank gegebenenfalls umständlich. Neben der Arbeit am AStAnet wurde der Bereich »Events« durch »Finanzen« ersetzt, womit eine Transparenz für die Studierenden erreicht werden soll.

Woran arbeite ich zur Zeit?

Zur Zeit wird an der Gestaltung der Benutzungsoberfläche des AStAnet gearbeitet. Diese wird von ihrer Technik und ihrem Design so konzeptionell angelegt, dass eine Erweiterung um weitere Dienste jederzeit problemlos möglich ist.

Was habe ich erreicht?

Im Rahmen der Kerntätigkeiten wurde mit der Erstellung eines Managementsystems begonnen. Hierfür wurde der bisherige Berichteeditor, mithilfe dessen alle Mitglieder ihre Monatsberichte veröffentlichen, in das neue System (AStAnet) immigriert. Dadurch befinden sich nun nahezu alle für die Mitglieder relevanten Dienste unter einer vorläufigen Benutzungsoberfläche. Darüber hinaus wurde einem Studierenden individuelle IT-Infrastruktur für eine Veranstaltung bereitgestellt.

Was sind meine Pläne für den nächsten Monat?

Zunächst soll die Gestaltung der Benutzungsoberfläche des AStAnet abgeschlossen werden. Sobald diese fertiggestellt ist, wird mit der Neustrukturierung der Mitgliederdatenbank begonnen. Dies ermöglicht letztendlich, die noch nicht enthaltenen Dienste wie Mitgliederverwaltung, Webseitenverwaltung, E-Mail-Administration und Beschlussdatenbank zu immigrieren.
